 Instructions for Program Committee Members


Dear Program Committee Members,

Here are a few instructions and hints to help you review papers for 3DIM2003.  Contact the 3DIM2003 Program Secretariat  or the Program Chairs if you require additional help.

To Begin

We assume Program Committee members have been issued a user account and password.It may be your Author's account that has been upgraded with PC privileges. Contact us otherwise. Login to your personal account on the Website by clicking "Login here if you have a userid", after following the "For program committee members" link of the Paper Submission and Review page.

From your Main Menu, you can view or edit your user record, or view, edit or create papers (please do not click "Create a new paper submission" after the deadline has passed).

Please make sure your personal user record is complete (see the Author FAQ for detailed information on the fields). You will find the commands to view and edit your user data near the top of your main menu page.

If you have been assigned papers to referee, you will have extra commands available on your main menu (see next section).


To Referee a Paper

Keep all submissions confidential.

There are two kinds of reviews: assigned and unregistered. A Program Chair must complete a form to assign you to referee a particular paper. If a paper has been assigned to you, you will see it in the section "Papers Assigned by Program Chairs" under "Referee reports owned by XXX" (about halfway down the page). There may be multiple papers listed. For each paper there are up to four buttons: to access the paper; to create/edit the referee report; to show the referee report (if it exists); and to access paper recommendation record.

PC members can delegate the reviewing of a paper to a close colleague or student, instead of reviewing the paper personally, but the PC member is still responsible for the review and should be familiar enough with the paper to be able to defend the review. These are unregistered reviews. They appear in the section "Unregistered Referee Reports" under "Referee reports owned by XXX" (about halfway down the page). Again, there may be multiple papers listed. There are two buttons to show and edit the referee report.

Please avoid conflicts of interest. These can sometimes be difficult to detect. If you feel there may be even an apparent conflict of interest, please alert the Program Chair who assigned you that paper or alert the PC member who asked you to do the review.

Obtain a copy of the paper for review

For unregistered reviews, the PC member will provide you with a copy of the paper. Skip to the section "Read the Paper."

For assigned reviews, the PC members should click the button to view the paper under the heading "Papers Assigned by Program Chair".

The PDF version of the paper you access is the one directly uploaded by the authors. They have been tested for readability with the free Adobe Acrobat Reader version 5.0.x. Some of the submitted papers still exhibit font embedding problems (e.g. if you get messages concerning missing Ryumin fonts). The quickest workaround is to install the Asian Font Package from Adobe, which allows the use of CJK fonts (including versions of the standard fonts) within the Acrobat Reader in any other language.

Read the paper

Read the paper carefully. You may wish to review the Call for Papers upon which the authors should have based their submissions.. If you find you are unable to review the paper, contact one of the Program Chairs or PC member that asked you to review the paper immediately!

Prepare your report

When you are ready to start your review, you will need to create a referee report. You do not have to be finished in order to create a report, we encourage its use for partial reports.

For assigned reviews, click the button "Create report" beside the paper number, under the heading "Papers Assigned by Program-Chairs".

For unregistered (delegated) reviews, type the paper number in the box labelled "I wish to submit a review for paper number" and hit the "Go" button.

A page with the review form will appear. Use the radio buttons provided to complete your review. Complete each section to the best of your knowledge.

The last radio button permits partial reports. If you would like to "sleep on your report" or work on it over a couple of days, mark "Is this the final version of your report?" with "I will be making additional changes". You may edit the record as many times as you like, particularly if you have additional comments to add. When you are sure the report is complete mark "It is the final version" and the program-chair for the paper will know that your report is ready to be included in the final recommendations. It would be helpful if you sent the program-chair an e-mail when you have finished all your reports.

There are two comment fields at the bottom of the form. You are not limited to the size of the boxes in preparing your response. For the authors, be specific and constructive. We want the papers accepted for 3DIM to be the best they can be. Of course, comments for the program committee will not be seen by the authors, even if the author is on the committee or a Program Chair !

When ready, press the "Submit Data" button. (Submit often when adding many comments; it is the same as doing a 'Save' in a word processor!)

Review your report

After pressing "Submit Data" from the edit form, you will see a copy of your report. Check it carefully for accuracy. Another copy of the edit form appears at the bottom of the page. When complete, you may return to your main menu by pressing the "Go to main menu" button at the top of the page.

You may also review your report by pressing the "Show report" button under "View my referee reports" on your main menu. You may change your report by pressing the "Edit record" at the bottom of the 'show' page.

All entries  to the our Web server are logged. You may use the "Show record history" button at the bottom of the 'show' page to monitor access to the records you are responsible for. Contact us immediately if you believe there is a problem.

Do not forget to select "It is the final version" when your report is complete
